Helpful Information for Scheduling Appointments Online

Managing a busy construction or management schedule requires a fast, accurate, and completely transparent booking process. To help your office staff coordinate multi-site appointments without encountering administrative delays, we have streamlined our online portal protocols. Please review these technical guidelines before submitting your next commercial site request.

To make sure that your appointments are routed correctly under your active corporate profile, maintain the following entry standards:

  • Please use your business office phone number when scheduling the appointment under your company account.
  • Enter the homeowner’s or on-site point of contact’s first and last name for the appointment details.
  • Our office will contact you if any additional information is needed prior to confirming the appointment.
  • Please call our office to set up an account under your company before scheduling appointments for your customers.

By adhering to these corporate booking steps, your project coordinators prevent localized scheduling overlap and guarantee immediate field dispatching. Our administrative staff carefully reviews each portal entry to cross-reference addresses and confirm localized parts availability ahead of time. We make it easy to manage multiple active residential accounts from a single dashboard.

Once your system requests are logged, our dispatch team provides automated updates directly to your specified site manager. This constant loop of communication keeps your field supervisors informed without draining your in-house office resources. Experience a modern, highly efficient approach to B2B mechanical service coordination.

We provide service within a 2-hour driving radius of our office. If you are unsure whether a property falls within our service area, please contact us before scheduling.

After the estimate is completed, you will receive a virtual proposal. Once the proposal has been reviewed and signed, one of our Service Coordinators will contact you to schedule the appointment.

Yes. Appointments in the Washington, DC area are evaluated on a case-by-case basis.

To be eligible for service, the property must have one of the following:

  • A private driveway that can accommodate our box truck, or

  • Confirmed or reserved parking located near the property.

Street parking alone is generally not sufficient. If street parking is the only available option, the customer is responsible for obtaining and paying for any required parking permits through the District of Columbia before the scheduled appointment.

Failure to secure adequate parking may result in the appointment being canceled or rescheduled.

We require a parking space large enough to accommodate our box truck as close to the property as possible so our technicians can safely and efficiently unload and load equipment.

For condominiums, apartment buildings, or other multi-unit properties, please confirm whether a loading dock or reserved service parking is required. If so, these arrangements must be made before the scheduled appointment.

Please note that street parking is not always sufficient. If adequate parking is unavailable upon arrival, the appointment may need to be rescheduled.

Residential appointments do not have a same-day cancellation fee.

However, if the service is covered under a signed proposal or contract, cancellation fees may apply. Any applicable fees will be outlined in the signed proposal or service agreement.

Yes. Our technicians take precautions to protect your customer’s home while performing service. This includes placing protective tarps when moving equipment. Protective shoe covers (booties) are also available upon request.

No. Keys Duct Cleaning is not a mold remediation company.

If our technicians observe signs of possible microbial growth during service, they may recommend that the customer consult a licensed mold remediation specialist for further evaluation and treatment.

Yes. Customers may remain in the home during most services. However, please note that the HVAC system will be turned off for the duration of the appointment.

For Aeroseal services, we recommend that pregnant women, children under the age of 3, and individuals with respiratory conditions or other health concerns remain away from the home until the service is complete.

This recommendation is made to help ensure the comfort of all occupants during the service.
